03Personal information we collect
We only collect what we need to care for your dog, run our services and meet our legal obligations.
- Identity and contact: name, address, email, phone numbers, emergency contacts and people authorized to drop off or pick up your dog.
- Your dog’s file: name, breed, age, sex, spay/neuter status, photo, vaccination and veterinary records, medical conditions, medication, diet, behaviour and temperament notes, evaluation results, incident reports and your veterinarian’s contact details.
- Bookings and payments: reservations, visit history, packages, invoices and payment details. Card payments are processed by our payment provider; we do not store full card numbers.
- Communications: emails, messages, calls, reviews, survey answers and newsletter preferences.
- Images: video recorded by the security and monitoring cameras on our premises, and photos or videos of dogs (and sometimes people) taken during services.
- Website and device data: IP address, browser type, pages viewed, referring site, language and cookie preferences. See our Cookie Policy.
04How we collect it
- Directly from you, when you create an account, book, fill out forms, sign up for our newsletter, contact us or visit us.
- From your veterinarian, with your authorization, for vaccination and health records.
- Automatically, through cookies and similar technologies on our website (only with your consent where consent is required), and through cameras on our premises.
- From people you designate, such as a family member who books or picks up for you.
05Why we use it
- To evaluate your dog, accept and manage bookings, and provide boarding, daycare, grooming, pool, café and boutique services.
- To keep dogs, clients and staff safe: health screening, medication, feeding, behaviour follow-up, incident handling and emergency veterinary care.
- To contact you about your dog, your bookings, changes to hours or closures, and to send receipts.
- To process payments, keep accounting and tax records and meet our legal obligations.
- To answer your questions, handle complaints and improve our services and website.
- To send newsletters, offers and updates, only if you have agreed to receive them.
- To share photos of dogs on our website and social media, as explained in our Terms of Service.
We do not sell or rent your personal information. We do not make decisions about you based solely on automated processing. If we ever want to use your information for a new purpose, we will ask for your consent first unless the law allows otherwise.
06Consent
By giving us your information to book or use our services, you consent to its use for the purposes above. We ask for separate, explicit consent for marketing emails, non-essential cookies and, where required, sensitive information. You can withdraw your consent at any time by writing to us, subject to legal or contractual restrictions. Withdrawing consent for information we need to care for your dog may mean we can no longer provide the service.
08Information stored outside Québec
Some of our service providers store data on servers located elsewhere in Canada or in the United States. Before communicating personal information outside Québec, we assess whether it will receive adequate protection, as Law 25 requires, and we use written agreements to protect it. Information stored abroad may be accessible to authorities of that country under its laws.
09Cameras and video surveillance
More than 50 cameras monitor our play areas, suites, pool and common spaces to keep dogs safe and secure the building. Signs inform visitors of the cameras. Footage is viewed by authorized staff only, kept for a limited period and then automatically overwritten, unless it is needed to investigate an incident, a claim or a legal matter.
12How long we keep it
We keep personal information only as long as needed for the purposes above. Client and dog files are kept while you are a client and for a reasonable period after your last visit, so we can welcome your dog back safely and answer questions or claims. Accounting and tax records are kept for at least six years, as required by law. Camera footage is overwritten automatically after a short period. When information is no longer needed, we destroy it securely or anonymize it.
13How we protect it
We use physical, administrative and technical safeguards suited to the sensitivity of the information: locked files, access limited by role, password-protected systems, encryption in transit, and confidentiality commitments from staff and providers.
If a confidentiality incident occurs, we take steps to reduce the risk of harm. When an incident presents a risk of serious injury, we notify the Commission d’accès à l’information du Québec and the people affected, and we record all incidents in a register, as the law requires.
14Your rights
You have the right to:
- Know what personal information we hold about you and get a copy of it.
- Have inaccurate, incomplete or outdated information corrected.
- Withdraw your consent to a use or communication of your information.
- Receive computerized personal information you gave us in a structured, commonly used technological format, or have it sent to another organization.
- Ask us to stop disseminating your information, or to de-index a link attached to your name, where the law allows it.
- Be informed of the personal information collected through technologies that can identify, locate or profile you, and how to turn them off.
Send your request in writing to the person in charge of the protection of personal information (contact details above). We may ask you to confirm your identity. We answer within 30 days. Access is free; we may charge reasonable fees for copying or transmission, and we will tell you the amount in advance.
15Children
Our services are booked by adults. We do not knowingly collect personal information from children under 14 without the consent of a parent or guardian. If you believe a child has given us information, contact us and we will delete it.
16Changes to this policy
We may update this policy to reflect changes in our practices or the law. The new version will be posted on this page with its date. If changes are significant, we will let you know by email or a notice on our website before they take effect.
17Questions and complaints
Contact the person in charge of the protection of personal information first; we will review your complaint and answer in writing. If you are not satisfied with our answer, you may file a complaint with the Commission d’accès à l’information du Québec (cai.gouv.qc.ca) or, for matters under federal law, the Office of the Privacy Commissioner of Canada (priv.gc.ca).
